Is the romance still moving along and that part of the conversation didn't happen because I rejected Liara allready or did I mess it up somehow?

I've got a strange feeling you don't talk to girls often.
Sorry Casanova, I didn't realise a question about game mechanics had to do with my ability (or lack of) to talk to women.

You obviously don't know how the minds of women work, if you talk to another chick, your girl is not gonna like it.

Just continue speaking with Ash on a regular basis, the poetry stuff got a tad silly for me, but she does have interesting conversations.

Once you turn Liara down, the romance with Ash appears automatic....I didn't want to romance either of them and found further conversations with Ash only offered romance option replies, no options to say 'no' to her, so had to reload my last save and just not speak with her anymore.

I have no idea about that one, though I was suspicious that though I didn't romance Ash, the game may default to a romance with her anyway, so Virmired her myself.

At the very beginning of the game, when she expresses concern over the alien crewmembers, tell her 'That's out of line!'.
You basically break all of her future conversations, however, you won't end up romancing her. It is much less extreme then Virmire.
OP - Romances are not 'locked in' until a specific dialogue options, as I recall, after two main story missions. So, if you did therum 1st, feros 2nd, then after Feros, Ashley's romance dialogue will come up.
If you are talking to Liara, then make sure you choose 'I just want to be friends' when it comes up.
